Coordinate distribution to local stores, similar events, and race goodie bags (includes cost of 5,000 - 4x6 color flyers; 25 - 12x17 gloss posters, Distribution at 3 local races minimum)
Running Websites & Calendars
Promote the event with running publications via their calendar lists of events (any listing costs to be paid by Event Budget)
Running Clubs & Elite Athletes
Promote the event to track clubs, running clubs, and top athletes.
Email Announcements
Early Stage, Middle Stage, and a Last Minute email blast promoting your event.
Advertising
Assist with design and advertisement schedule (Submittal of advertisements to be paid by client)
Social Media Marketing
Developing a social media marketing campaign via sites such as Facebook & Twitter to increase event fans and followers.
Public Relations, Media Relations, and Consulting
Management of relationships between your event and the running community, media outlets, and sponsors. Creative ideas are also suggested to ensure that your event will be unique and highly sought after by runners in search of one of a kind events

PLANNING & LOGISTICS  - $5,000

2.) -

Secure Permit
Adhere to municipality event date guidelines  
Prepare event profile/presentation to necessary municipalities
Present and/or attend meetings to begin approval process
Submit final application for permit(s)
Insurance Fulfillment
Follow Up
Meet with required officials for route security such as the police department, and/or other committees
Keep an open line of communication throughout process to ensure good client/municipality relations

Facilitate Weekly or bimonthly meetings
Provide a detailed outline of tasks by month
Meet w/ ALL Vendors and coordinate logistics: photographer, timing, etc.
Prepare Event Day Schedule/Timeline
Plan the opening and post race announcements (collaborative effort)
Coordinate with the Timing Company (additional timing costs apply)
Coordinate with traffic control company to develop a Traffic Control Plan
Coordinate for distribution of water and water stops during the race
Arrange for event announcer (additional fee applies)
Course Maps & Signs
Create map of course w/aid stations, water stations and mile markers

Create Virtual Course Map
Certification of Course

Race day set up, volunteer coordination, aid/water station coordination, implement safety plan, staging area set up, etc.
First Aid & Water Stations
Determine location and quantity, detail supplies and volunteers, obtain medical supplies and /or coordinate Medical Team (paid by Client)
Create safety plan, notify local authorities—fire department
Rent necessary safety equipment (paid by Client)

Post race wrap – one week after event day

Write up volunteer solicitation
Recruit volunteers
Volunteers identified & duties list completed, leaders assigned

EVENT EXPO MANAGEMENT- $2,000

4.) -

Arrange for the rental of stage, barricades, scaffolding, tables, tents, sound equipment and additional equipment (to be paid by Client)
Manage set up of event expo (additional staffing cost, if agreed upon, to be paid by Client)
Assist with securing vendors
Assign volunteers to assist with bib pickup, t-shirt distribution, and other expo duties

5.) -

Active.com set up
Coordinate event registration on-site at the event
Coordinate Finish Line/Timing Company and arrange for accurate, quick results (additional timing costs apply)
Compile shirt sizes and quantities based on registration trends
Order T-Shirts
Assist with design of shirt
Order Bibs (Assist with design of Bibs and purchase/printing to be paid by event budget)
Order Medals and/or Ribbons (Design of Medals/Ribbons and purchase/manufacturing to be paid by event budget)
